What Data We Collect

We collect only the minimum personal data necessary to provide our services:

• Newsletter subscription: Email address, preferred language, and optional interest categories (tutorials, events, publications, announcements). Stored in Supabase.
• Event registration: Full name, email address, and a hashed password (for authentication). Registration records are linked to your account. Stored in Supabase.
• Contact form: Name, email address, subject, and message. Messages are sent via your email client (mailto); we do not store contact form submissions on our servers.
• Automatically collected: Standard web-server access logs (IP address, browser type, referring page, timestamp) may be collected by our hosting provider (GitHub Pages) for operational purposes. We do not run our own analytics platform.

Purpose and Legal Basis

We process personal data on the basis of consent (for newsletters and event registration) and legitimate interest (for responding to contact messages and maintaining service security).

You may withdraw consent at any time by unsubscribing from newsletters (one-click link in every email) or by contacting us to request account and data deletion.

Storage Location

Personal data is stored in Supabase, a cloud database platform hosted in the Southeast Asia (Singapore) region. Supabase provides encryption at rest and in transit. We do not transfer personal data to additional third-party data processors beyond what is described in this policy.

Retention Period

We retain personal data only as long as necessary to fulfill the purposes for which it was collected. Newsletter subscriber emails are kept until you unsubscribe. Event registration records are kept for the duration of the event plus a reasonable archival period for attendance records (typically 1 academic year). You may request earlier deletion at any time.

Third-Party Services

Our site uses the following third-party services that may independently process data:

• Google Maps (embedded iframe): Displayed on the Contact page to show our location. Google may collect usage data according to its own privacy policy. The map is loaded only after you grant consent via our cookie banner.
• Google Fonts: We load fonts from fonts.googleapis.com for consistent typography. Google may log font requests.
• GitHub: Links to our GitHub organization (github.com/se-polinema). Clicking these links navigates to GitHub's site.
• Supabase: Provides authentication and database services for newsletter subscriptions and event registration.

Your Rights

You have the right to:

• Access the personal data we hold about you
• Request correction of inaccurate or incomplete data
• Request deletion of your personal data
• Withdraw consent at any time (unsubscribe from newsletters, or contact us to delete your account)
• Lodge a complaint with a relevant data protection authority

Cookie Policy

This site uses minimal cookies and browser storage for essential functionality:

• Language preference — stored in localStorage to remember your selected language (en/id). No consent required.
• Theme preference — stored in localStorage to remember your dark/light mode choice. No consent required.
• Consent preference — stored in localStorage to remember your data-consent choice. No consent required.
• Authentication session — Supabase sets a session token cookie when you sign in for event registration. Essential for the service to function.

We do not use advertising cookies, third-party tracking cookies, or analytics cookies.
